How to Prepare Office Relocation Without Downtime

An office move can look straightforward until the working day arrives and nobody can access the internet, answer a customer call or find the latest version of a file. For an SME, even a short interruption can affect sales, service levels and staff confidence. Knowing how to prepare office relocation properly means treating it as a business continuity project, not simply a removals exercise.

Your desks, screens and filing cabinets may be visible parts of the move, but the systems behind them need equal attention. Connectivity, cloud access, VoIP phones, Wi-Fi coverage, security controls, backups and staff devices all need to be ready when your team walks into the new premises.

Start planning earlier than feels necessary

The most common cause of disruption is leaving technical decisions until the final weeks. Internet services, cabling work and building approvals can take longer than expected, particularly where a new site needs a new connection installed or upgraded. Start the technology plan as soon as the premises are confirmed, ideally eight to twelve weeks before the move date.

Assign one person internally to coordinate decisions and communications, even if they are not responsible for the technical work. This may be an office manager, operations lead or business owner. They should have a clear view of the move date, access dates for both sites, the people involved and the decisions that need approval.

At this stage, establish what success looks like. For some businesses, a day of reduced service over a weekend is acceptable. For a customer-facing team or a business with staff working shifts, the priority may be keeping phones, remote access and core applications available throughout. The right approach depends on your operating hours, contractual commitments and tolerance for downtime.

Audit what needs to move, replace or retire

Before arranging removals, create a complete inventory of your technology. Do not rely on memory or a list compiled when equipment was originally purchased. A relocation is a useful opportunity to identify ageing hardware, unlabelled cables, unused subscriptions and devices that no longer meet security requirements.

Record servers, network switches, firewalls, wireless access points, printers, monitors, laptops, docking stations, phone handsets and specialist equipment. Include serial numbers, assigned users and current locations where possible. Photograph the back of complicated network cabinets before anything is disconnected, and label every cable at both ends.

This audit should also cover services that are less visible. List your internet provider, public IP addresses, domain and DNS settings, cloud applications, backup platform, phone system, alarm connection, CCTV, access control and any line-of-business software. If a supplier needs to make a configuration change, you do not want to be searching for account details while staff are waiting to work.

Not every asset should make the journey. Equipment approaching end of life may be cheaper and safer to replace than to move, reinstall and support. Any unwanted drives, laptops or servers should be handled through secure asset destruction or certified data wiping. Sending devices with business data into a standard recycling stream creates an unnecessary risk.

Check the new office before committing to the layout

A floor plan is not an IT design. Walk through the new premises with the people responsible for connectivity and infrastructure before desks are placed. Identify where the incoming internet service will enter the building, where the comms cabinet will sit, and how network cables will reach work areas, meeting rooms and wireless access points.

The comms area needs more than a spare corner. It should be secure, dry, ventilated and protected from casual access. It also needs sufficient power, ideally with battery backup for the firewall, network equipment and key communications services. Avoid placing critical equipment in a kitchen, storage area exposed to damp, or a room that staff and contractors use constantly.

Wi-Fi deserves particular attention. Signal strength can be affected by concrete walls, glass partitions, shelving and the size of the office. A wireless survey or site assessment helps determine the number and location of access points needed for reliable coverage. Meeting rooms, reception areas and warehouse spaces are often overlooked until users begin reporting poor connections.

You should also plan secure guest Wi-Fi. Visitors should not share the same network as business devices, printers and servers. Separating guest access is a simple control that reduces exposure without making life difficult for clients or contractors.

Put connectivity and communications first

Your broadband or leased-line installation is usually the longest lead-time item in an office move. Confirm what services are available at the new address, whether existing contracts can transfer, and whether the planned capacity supports your headcount and cloud usage. A connection that was adequate for a smaller office may not be sufficient once more staff are on video calls, using hosted applications and transferring files.

Ask early whether a temporary connection or 4G/5G failover is needed. A backup connection can protect the business if the primary circuit is delayed or experiences an outage after go-live. It is especially valuable for firms that depend on cloud systems, card payments or internet-based telephony.

Phone numbers and call handling also require a plan. With a VoIP system, handsets and users can often be moved with less difficulty than a traditional phone system, but configurations still need checking. Confirm whether main numbers will remain the same, where calls should route during the move, and who will test voicemail, hunt groups, call queues and out-of-hours messages.

A short, planned diversion is far better than customers reaching an unanswered number. Let key clients and suppliers know in advance if there is any chance of temporary disruption, and give staff clear instructions on how to handle calls from mobile devices if required.

Protect data and access throughout the move

Relocation introduces physical and cyber security risks at the same time. Devices may be in transit, staff may be using temporary networks, and normal processes can be relaxed under pressure. Keep security controls in place rather than treating them as an inconvenience for one busy weekend.

Verify that backups are current before equipment is switched off. More importantly, confirm that a restore has been tested recently. A backup that cannot be restored does not provide the protection your business expects. Keep a copy of recovery contacts, administrator credentials and escalation procedures securely available to the people leading the move.

Laptops should travel with their assigned users where practical, rather than in a general removals load. For servers, firewalls and network equipment, use appropriate packing, documented shutdown procedures and an agreed chain of custody. If sensitive paper records are moving too, secure transport and controlled access should be part of the plan.

At the new office, confirm that multi-factor authentication, endpoint protection, firewall rules and device management are operating as expected. Staff may be more vulnerable to phishing messages that exploit a change of address, new invoices or apparent IT requests. A brief reminder to verify unusual emails can prevent an avoidable incident.

Create a realistic move-weekend runbook

A detailed runbook turns a complex move into a sequence of accountable tasks. It should state what happens before shutdown, during transport, on arrival and on the first working day. For each task, name an owner, the timing, the dependencies and the test that confirms it has been completed.

The runbook should cover at least these areas:

  • final backups and confirmation of successful completion
  • shutdown, disconnection, labelling and packing of equipment
  • installation and testing of internet, firewall, switching and Wi-Fi
  • setup of desks, printers, meeting-room equipment and phones
  • testing of core applications, cloud access, remote access and backups
  • communication to staff, customers and suppliers if plans change

Build in time for testing before the first full working day. Test from a user’s perspective, not only from the network cabinet. Can a member of staff sign in, access files, print, join a video call, receive a phone call and connect securely from a laptop? Test with a small group first, then resolve issues before the whole business arrives.

Keep a fallback plan as well. This might include remote working for part of the team, mobile phone call diversion, spare laptops or a temporary connection. Contingency is not a sign that the project is weak. It is how you protect productivity when an external dependency does not go to plan.

Support staff through the first week

The move is not finished when the equipment powers on. The first few days reveal practical issues: a meeting room with poor wireless coverage, a printer that cannot be found, a headset that will not connect or a staff member who needs help accessing a new desk setup.

Give employees a simple first-day guide covering Wi-Fi details, printing, phone use, meeting rooms and the process for reporting problems. Keep IT support visible and responsive during this period.
