Moving office is often treated as a property project until the first employee cannot log in, the phones do not ring, or a critical server is left disconnected. For SMEs, the priority is not simply moving equipment from one address to another. It is protecting data, maintaining communications, giving staff a reliable place to work, and avoiding the hidden costs of even a short outage. The best approach begins early and assigns clear ownership across your business, landlord, fit-out team, internet provider and IT partner.

Begin planning at least 8 to 12 weeks before the move where possible. Connectivity lead times can be longer than expected, particularly where new fibre infrastructure is required or the building has limited carrier options. Leaving this until the final weeks is one of the most common causes of delayed opening dates.

Appoint a single internal decision-maker who can approve plans, provide access to the new premises and coordinate suppliers. Your IT provider should work alongside them, not in isolation. They need accurate floor plans, dates for access and fit-out, staff numbers, meeting room requirements, and a clear picture of how the business will operate on day one.

The move plan should distinguish between systems that must be live immediately and those that can wait. For example, internet access, Wi-Fi, phones, security controls and key line-of-business applications are usually essential. A secondary printer location or non-critical archive equipment may be installed later if needed. This prioritisation keeps spending and disruption under control.

Assess the New Site Before Committing

Plan cabling around how people actually work

Network cabling is far cheaper and cleaner to install before ceilings, floors and furniture are finished. Map every fixed workstation, printer, access point, meeting-room screen, desk phone and door access device. Allow for growth rather than installing exactly enough points for today’s headcount.

Not every business needs wired connections at every desk. A cloud-first team with laptops may rely mainly on business-grade Wi-Fi, while finance, design, legal or operational teams may require dependable wired access. The right choice depends on the applications in use, the building construction and the level of performance required. What matters is designing it deliberately, not discovering weak coverage after staff arrive.

Protect Data and Document the Existing Environment

Before any equipment is unplugged, take a verified backup of critical data and confirm that it can be restored. Backups are only useful if they are current, protected and recoverable. Test a restoration where practical, especially for essential servers, shared drives and business applications.

Create a current inventory of devices, serial numbers, assigned users and locations. Include laptops, desktops, monitors, printers, switches, firewalls, servers, access points, mobile devices and spare equipment. This is useful for insurance and asset management, but it also prevents a valuable device being misplaced during a busy move.

Document the network configuration, internet circuit details, firewall settings, administrator accounts, software licences and vendor contacts. Keep that information in a secure password management system, not in a spreadsheet passed around by email. If an unexpected problem occurs on move weekend, the support team must be able to identify the correct circuit, settings and escalation route quickly.

You should also decide what will not move. Outdated hardware, redundant cabling and retired storage devices should be handled through secure asset disposal. Old drives and devices can still contain personal, financial or commercially sensitive information. Set Up Connectivity, Security and Communications First

The new site should be tested before staff depend on it. Cybersecurity deserves particular attention during relocation. New premises often introduce new risks, from poorly secured comms cupboards to unknown devices joining the network. Do not use the move as a reason to postpone essential security controls.

Phone systems need a separate plan because number porting can take time and may require coordination with multiple providers. Confirm whether existing numbers will transfer, when the port will occur, and how calls will be handled if there is a delay. Modern VoIP systems can offer flexibility, but only when the underlying internet connection and quality-of-service settings have been prepared properly.

For many businesses, a temporary continuity arrangement is worthwhile. Staff may work remotely for a day, calls may be diverted, or essential users may use mobile broadband until the primary connection is fully active. It depends on your tolerance for disruption and the cost of lost trading time. A short-term fallback is usually less expensive than an unplanned outage.

Moving Day: Control the Change

The physical move should follow a labelled, documented sequence. Disconnect and pack equipment by workstation or department, with cables and peripherals clearly identified. Do not allow critical network equipment to be mixed into general office crates. Firewalls, switches, UPS units and servers should be handled by people who understand their order of shutdown and restart.

Arrange secure transport for sensitive equipment, particularly servers, backup devices and laptops. If a server is being moved, confirm whether it can tolerate the downtime and transport conditions. In many cases, moving services to the cloud or a hosted environment before relocation reduces risk. In others, retaining an on-site server remains practical, but it needs an agreed shutdown, transport and recovery procedure.

At the new office, bring core infrastructure online first. Test the internet connection and firewall, then the switching and Wi-Fi, followed by phones, printing and user devices. Have a support contact available while the first staff log in. Validate the New Office After Go-Live

The work is not finished when the lights on the network equipment turn green. Use the first week to check performance and address the practical issues that emerge under normal use. Ask staff where friction remains and resolve it before temporary workarounds become permanent habits.

Update your documentation with new IP ranges, equipment locations, floor plans, circuit details and emergency contacts.
